[One Day in HUTB] Staff of Academic Affairs Division: Facilitate the Progress of Faculty and Students with Sincerest Services

Year 2020 is getting close to the end, and the staff of Academic Affairs Division are immersed in busy work as usual. On November10, we paid a visit to HUTB Academic Affairs Division and met the industrious staff who promote the education and teaching work of HUTB.

 


In the Director’s Office of Academic Affairs Division at 8:00a.m., Liu Daobo, Director of Academic Affairs Division, and Yang Shuigen, Deputy Director, discussedthe “two 10,000-plan” construction, ideological and political course reform, students’ academic warnings, etc. At the same time, two graduate students werewaiting for consulting Ms. Liu, their supervisor, about the topic selection of their scientific research papers.

 

After thediscussion, Ms. Liu said to us: “Academic Affairs Divisionstaffis a very solidary and united team; theyare energetic and show their strong internal motivation and innovation spirit in their work and are adept in considering problems in the perspectives of their leaders and colleagues, which dramatically improves theirwork efficiency. Faced with burdensome works, everyone is full of beans, proactively undertakes their tasks and overcome difficulties, and always remains positive without complaints.” While talking about the role definition of academic affairs staff, she said: “Academic affairs staff are not only reformers, administers and servers of school education and teaching. We should take the supply of high-quality servicesas the start and foothold of our work, spare no effort to improve our work styles and methods, and constantly improve our work standards and service quality.”

 


Then, Ms. Liu came to the office. She and Song Mingyue, the office director,arrangedkey work which needed to be completed in the coming days. The office is the “central hub” of Academic Affairs Division whereabundant daily affairs and temporary important tasksare conducted. “As a comprehensive service-oriented section, we endeavor to serve everyone with smile, deal with problems atthe first inquiry, address issues within a limited period of time, give timely feedback, and fully coordinate personnel, funds, materials and other resources, earnestly conduct inspection, supervision, coordination and promotion to ensure the smooth completion of our various work.” saidSong Mingyue.

 


Students came to the Student Status Management Section at 9:30a.m..Wang Bin, the head of the Section, answeredtheir questions about major transfer patiently and carefully, and guidedthem to go through correct formalities. Recently, the QQ group of “HUTB E Family” gave Mr. Wang thumbs up for his wholehearted service to students. When I mentionedthis, Mr. Wang replied: “It’s my job, something is trivial for us but matters for students and concerns their growth and development. We, the Section,seriously treat every trifle from our students, and not only provide high-quality servicesto students, especially to those with difficulties, but also give them persuasion and guidance.”

 


At 11:00a.m.in the textbook warehouse of the Textbook Section in the Zhicheng Building, Fan Yitian, head of the Section, wereleading Ms. Tian Xiaohong and studentassistants to check remaining textbooks and return them to publishing houses according to relatedworkflows. “The very beginning of every term witnesses the urgentdistribution oftextbooks, and we have a heavy workload. After returning the remaining textbooks to the publishing houses, we need to “refund for any overpayment or a supplemental payment for any deficiency” of the textbook charges, and we shouldassure that we have refundedevery overpaid penny to students.” saidFan.

 


At 2:30 p.m., Tao Juan, head of the Teaching Construction Section, wascollating “two 10,000-plan” application documents. In the recent two years, great breakthroughs have been made in the “two 10,000-plan”.Ms. Tao summarizedthe application documents of 16 majors which hadbeen selected by experts and approved as the provincial-level first-class majors, and submittedthem to Ministry of Education for applying for the national-level first-class majors. She expressed: “with the rapid development of HUTB, we have obtained numerous work achievements and we believe that HUTB will make greater achievements.”

 


In the smartclassroom of Lezhi Building at 3:00 p.m., the Teaching Affairs Sectionstaff wasimprovingthe entries of teachers who wereselected to attend Hunan College Teacher Information-based Teaching Contest; Tang Aiguo, Deputy Director of Academic Affairs Division, and Song Luanjiao, head of Teaching Affairs Section, werediscussing relateddetails.

 


At 3:30 p.m., Zhang Jingchao from Teaching Affairs Section washandling course selection and transfer for students. Teaching Affairs Section is the “nervous centralis” of HUTBteaching operation and ensures over 20 thousand students’ normal learning; hailed as the most “popular” office, Teaching Affairs Sectionreceives almost 100 person times every day during the busiest period. Mr. Zhang is a recognized “Internet” teacher, as he provides humanized and meticulous course and classroom arrangement within the university system range, and wins recognition and praise by virtue of his high-quality and efficient smiling service.

 


At 4:00 p.m., the staff in Examination Affairs Section wasvery busy answering ceaseless incoming calls. Wang Chao, head of Examination Affairs Section, receiveda call from an equipment supplier and was communicating about the brands, models, functions and so on of duplicators. He toldme: “As HUTB raises increasingly higher requirements of examination affairs and there are a growing number of current students, we are planningto apply for purchasing a duplicator to address the current issue of insufficient exam paper printing.”

 


At 4:30 p.m., Hu Ying, head of Practical Teaching Section, came back to herofficeafterarrangingthe booth for HUTB at the site of the 55thHigher Education Expo China,receiving enterprises and discussing university-enterprise cooperation. “We, by cooperating with HUTB’s secondary schools, will undertaketwo provincial-level contests, namely, the 4thHunan College Internet of Things Application Innovation Design Contestand the Chinese Mathematics Competitions (Hunan Division); meanwhile, we manage special fund projects for supporting local universities and colleges funded by the Central Government.” saidMs. Hu.

 


At 5:00 p.m., Chen Feihu, Deputy Director of Academic Affairs Division, returned to the Main Campus from the North Campus and wascommunicating with the staff members of relevant sections about the course fee issuance to teachers dispatched to Xiangtan Institute of Technology.The academic affairs office in the North Campus is the extended office of Academic Affairs Division, which is in charge of education and teaching of first-batch freshmen and two terms of third-batch undergraduates, and also in charge of coordinating the education and teaching work with Xiangtan Institute of Technology. Xiao Shengxia, director of the academic affairs office in the North Campus, said: “We have experienced a steady transition in theconsolidated management of education and teaching of the North Campus, and will spare no effort to coordinate relatedwork to ensure a good education and teaching order of the North Campus.”

 

Thisonly shows some episodes of academic affairs staff in a year. There are 31 staff members in Academic Affairs Division and many staff in academic affairs office of secondary schools.Their work is various and extremely concrete, and involves all the aspects of study, work and growth of faculty and students. During the interview, I sawall kinds of busy scenarios: the faculty and students came and wentfor handling formalities, phones rang from time to time, and the staff discussedspecific work deeply and processeda huge amount of data in Excel, with ceaseless sounds of taping keyboards. Academic affairs staff, as the backbone force of school education and teaching work, work conscientiously and painstakingly; though they encounter difficulties in life, they accomplish their tasks with high senses of responsibility and mission, and feel fulfilled and happy.

 

Recently, triumphant news keeps pouring in on school education and teaching work: Smart Supply Chain Operation Simulationand other 2 courses were selected as the national-level first-class undergraduate courses;Engineering Management and other 17 majors were approved as the first-class undergraduate majors of Hunan Province;faculty and students achieved good performance in National Teaching Contest of Young Teachers at Universities and Colleges, Hunan College Teacher Classroom Teaching Contest, Hunan College English Speaking Contest, etc..Ms. Liu Daobo expressed: “Thanks to our leaders’ greatemphasis, active planning of Academic Affairs Division, vigorous support from schools, and faculty’s and students’ proactive participation, we have formed the maximum jointforce and achieved such great achievements, and we will continue offering good service, helping faculty and students grow better and making our contributions to HUTB’s development.” (Reportedby Zhang Gaoyang)
